How to Calculate Your Ideal Freelance Hourly Rate (2026)

One of the biggest mistakes new freelancers make is looking at what they used to make at their 9-to-5 job and simply dividing that salary by 2,080 hours.

If you do this, you are drastically undercharging.

When you transition from an employee to a freelancer, you become a business. You are now responsible for your own health insurance, sick days, vacations, hardware, software subscriptions, office space, and specialized freelancer taxes.

Here is the exact formula you need to use to calculate a freelance hourly rate that actually sustains your lifestyle.

Step 1: Define Your Target Annual Income

Start with the take-home pay you want to make. This is the amount you want to effectively "pay yourself" to cover your personal living expenses, savings, and personal goals.

Example: ₹12,00,000 / year ($15,000)

Step 2: Add Your Annual Business Expenses

Freelancing isn't free. You need to calculate the overhead required to run your business. Common expenses include:

  • Software subscriptions (Adobe CC, Notion, Web hosting, etc.)
  • Hardware depreciation (Laptops, cameras)
  • Internet and phone bills
  • Health insurance premiums
  • Marketing and advertising

Example: ₹2,00,000 / year ($2,500)

Step 3: Account for Taxes

Unlike traditional employment where taxes are withheld automatically, freelancers must pay self-employment tax. Depending on your country and tax bracket, this usually ranges from 20% to 30% of your net income.

Example Tax buffer: 25%

Step 4: Calculate Billable Hours (The Real Bottleneck)

There are 52 weeks in a year. If you work 40 hours a week, that’s 2,080 hours.

However, you will never bill 2,080 hours as a freelancer.

You need to subtract:

  • 3 weeks of vacation
  • 1 week of sick leave
  • Public holidays

That leaves you with about 46 working weeks, or 1,840 hours.

Crucially, you must also account for unbillable time (admin work, accounting, marketing, client pitching). Typically, a freelancer spends about 30% to 40% of their time on unbillable work. That leaves you with only roughly 1,100 to 1,200 truly billable hours per year.

The Formula

Minimum Hourly Rate = (Target Income + Business Expenses) / (1 - Tax Rate) / Billable Hours

Using our example: Minimum Hourly Rate = (₹12,00,000 + ₹2,00,000) / (0.75) / 1,200 Minimum Hourly Rate = ₹18,66,666 / 1,200 Minimum Hourly Rate = ₹1,555 / hour ($19.50/hr)

If you had just divided your ₹12,00,000 goal by 2,080 standard working hours, you would have charged ₹576/hour—and you would have quickly gone bankrupt.
